How do I back up a suspended user's data?


Backupify/Datto SaaS Protection can back up a suspended user's data, however this only applies to a user that was previously active with your Google Apps account. If you suspend a user in Google Apps that has been actively backed up by Backupify/Datto SaaS Protection, the data is safe and you will be able to access it as needed.

When a suspended user is added to Backupify/Datto SaaS Protection, the services become disabled and the user listed as archived. Archived users retain all previous data that has been backed up, but no longer run any backup jobs.

If you have users that were suspended prior to implementing Backupify/Datto SaaS Protection but would like their data backed up, follow the steps below.

To archive suspended users' data in Backupify/Datto SaaS Protection:

  1. From your Gmail account, click the Settings button in the upper right corner and choose "Manage this domain."

  2. Click the Users option and then select the suspended user from the next screen.

  3. Update the user from Suspended to Active. To do this, click the More Options button in the upper right corner of the user's profile screen and select "Restore user."

  4. Navigate to your Backupify/Datto SaaS Protection account and add the user. Once the data has fully backed up, you will be able to suspend the user again without data loss.

NOTE: And this is important! On the Google Apps side, Suspended users wouldn't be able to access and edit a file they own. But, other users that may have shared access to those files can still access and make edits. If your Backupify/Datto SaaS Protection account does not have 'shared documents backup' turned on, all changes to any file that the Suspended user owns would need to be backed up under the owner's Drive account. But, if that owner's Google Apps user is Suspended, nothing on that account gets backed up (because that user becomes Archived on the Backupify/Datto SaaS Protection end).
