Over the first half of 2016, we moved all of our customers' Backupify for Salesforce backups over to our new platform, which we feature smoother restores & exports, a new user interface, and more.
The information below refers to the 'old' interface that you can access in your account dropdown (in the upper left hand corner of your Dashboard) that is marked "[Archived]".
1) API Monitor
- When first installing the product API monitor will be grayed out for first 24 hours.
- Clicking on the blue underlined number after “Limit:” will bring an administrator to a screen that will allow them to adjust their API backupify Limit. Any changes to this will take 24 hours to take affect
2) Storage Count
- Next to the API monitor is the Storage count
- The storage count represents the total data stored in the objects, metadata, and files stored in Backupify
- Only the latest versions of each piece of data are included in the total. Previous (older) versions are not included in the total. The total may not match the storage usage shown for your objects or data in Salesforce.
3) Recent Activity
- Top right of admin dashboard shows last three backup activity
- Clicking on “View All Activity” presents you with last 30 days of backups. This view also shows Export History As Well
4) Backup Statuses
- Backup Completed - This status is displayed when at least 95% of the data was backed up on the last backup run. Since we rely on the Salesforce API, there are some circumstances where we are unable to back up all of your data. In this case, we will display the objects that we were unable to back up in the detailed activity log. If we are unable to back up the same object for at least 7 days in a row, the overall backup status will change to partially complete.
- Partially Complete - This status is displayed if we were able to back up some, but less than 95% of the data. Users will be able to view a list of the objects we were unable to retrieve.
- Disabled - This status is displayed if the backup service has been disabled on purpose (at your request) or if we are unable to use the Salesforce OAuth token to access your account's data. This can happen if you have disabled the Salesforce user associated with your Backupify account, or changed their permissions. When a backup is disabled, you will receive an email notification. You cannot unsubscribe from this notification email.
5) Forcing a Backup
- Backups will run once a day but if customers need to run a backup before the scheduled backup all they need to do is click on the blue “Force a Backup” now button that is above the API Monitor Box in the admin screen

Why doesn't the storage usage shown on my Backupify dashboard match what is shown in Salesforce?
In Salesforce, you can see reports for storage and number of records for some of your objects (Setup | Administration Setup | Data Management | Storage Usage).
In Backupify, you can see the total storage used for your objects and files on the dashboard page.
A lot of customers ask us why these numbers don't match. There are a few good reasons why:
- We store your files in their original formats, but object data is stored as CSV format. The size of these CSVs is comparable to the size of the CSVs you get when you export data from Salesforce. The size of an object shown in Salesforce can be 30X larger than its CSV equivalent. For example, our Tasks object takes up 475MB of storage per the Salesforce UI, but when exported, the CSV is only 157MB.
- Salesforce doesn't show actual storage usage. The storage numbers shown on their Storage usage page are actually estimates based on the number of records stored in the object. For example, Salesforce multiplies the number of records X 2Kb to get the total storage used for most objects. In some cases, like the Campaign object, they multiply the number of records by 8Kb.
- One last thing to be aware of, that could cause a small disparity, when trying to compare storage usage between Salesforce and Backupify, is that neither service updates the usage numbers in real time.
The best way to verify your backup is to compare the number of records stored for the object in both products. Salesforce does show this number in the Storage Usage report and Backupify displays this number on the 'View all objects' list. These numbers should match up - with discrepancies appearing any time you've added new data to the object since the last backup ran.
Why doesn't the data count shown on my Backupify dashboard match what is shown in Salesforce?
Due to the large amount of Salesforce records to be counted, we currently estimate the total count of records for Salesforce objects. This helps provide more timely data counts, especially for larger objects.
