Autotask PSA: Why are the Summary Notes for my labor entries not transferring to QuickBooks?



When transferring Labor related items to QuickBooks, the Task/Ticket info and the Summary Info do not show up on the QuickBooks invoice, even though they appear on the Autotask Invoice grouped by Work Type with all of the details of the time entries below. Why is this?

Rolled up labor entries will not transfer Summary Notes to QuickBooks, because QuickBooks does not support the rolling up and itemizing of Autotask invoices. So even though the entry appears rolled up and itemized on the Autotask invoice, it will not appear that way in QuickBooks. The itemized details do not transfer over to QB. To have the details transfer, you must remove the rolling up from your Invoice Template by performing the following steps:

1. Navigate to Autotask Menu Contracts Invoice Templates.
2. Hover over the context menu next to the invoice template you wish to edit and select Edit.
3. Click Edit in the Invoice Body section of the Invoice Template.
4. Scroll down to the Roll Up & Sort Order section.
5. Change the Itemize field to Do Not Itemize and then change the Roll Up dropdown to Do not roll up.
6. Click OK to return to the Invoice Template page, then click Save & Close.
