Backupify/Datto SaaS Protection for Office 365: How do backups work?

This article describes how backups work in Backupify/Datto SaaS Protection for Office 365. Use this article for general information about taking backups of Office 365 services.

Description

Supported Services

Backupify/Datto SaaS Protection currently backs up the following:

  • OneDrive
  • SharePoint
  • Contacts
  • Calendar
  • Tasks
  • Mail services
  • Teams

Datto backs up Office 365 data using the following:

  • Microsoft’s Exchange Web Services (EWS)
  • OneDrive API's

Backup Frequency

The backup schedule for Office 365 is fully automated and runs three times daily for each service. Users cannot adjust the backup schedule.

  • The day's first backup run occurs between 12:00 AM and 8:00 AM (GMT).
  • The second run occurs between 8:00 AM and 4:00 PM (GMT).
  • The third occurs between 4:00 PM and 11:59 PM (GMT).

Backup timestamps

Backupify/Datto SaaS Protection displays times in GMT. You can tell what time a backup has fully completed by looking at the time stamp on the associated snapshot.

Starting a manual backup

You can always initiate an impromptu backup for a specific SharePoint subsite or an Office 365 user by clicking BACKUP NOW. Running an on-demand backup will not affect the three regularly scheduled backups.

Backup Exceptions

If you are using Backupify/Datto SaaS Protection for Office 365 and your mail service is disabled or not provisioned, Datto will not be able to back up contacts and calendars.

The Exchange service encompasses mail, contacts, calendars, and tasks but will fail backups if the service isn't present because Exchange in 2.0 is linked directly to Exchange in 1.0.

Datto does not back up the rules for Office 365 Exchange services.

Mail:

  • Backupify/Datto SaaS Protection for Office 365 can back up your shared mailboxes, but not public folders. The Microsoft Office 365 API does not allow the discovery of this content.
  • Backupify/Datto SaaS Protection can backup the notes in Exchange; however, they can only be restored as messages.  These Exchange messages can be converted back into notes. 
  • Backupify/Datto SaaS Protection for Office 365 does not back up Office 365 archived mail at this time.

Contacts:

  • Backupify/Datto SaaS Protection for Office 365 does not back up profile pictures of an Office 365 contact.
  • Backupify/Datto SaaS Protection for Office 365 does not back up shared and group contacts. This limitation is due to the Office 365 API disallowing the discovery shared and group contacts.
  • Backupify/Datto SaaS Protection cannot access attachments that are references to OneDrive objects through the API and cannot back them up.

Calendar:

  • Backupify/Datto SaaS Protection for Office 365 does not back up shared and group calendars.
  • This limitation is due to the Office 365 API disallowing the discovery shared and group calendars.
  • Backupify/Datto SaaS Protection cannot access attachments that are references to OneDrive objects through the API and cannot back them up.

OneDrive:

It can take up to 24 hours for Backupify/Datto SaaS Protection to recognize that the user is provisioned when you first enable OneDrive for a user in the Office 365 environment. The initial backups can take up to 24-48 hours to complete.  After allowing one backup cycle to complete, that user's OneDrive account should begin backing up as intended.
  • Datto backs up all documents in an individual's OneDrive.
  • Microsoft Office 365 does not back up shared and group documents. This limitation is due to the Office 365 API disallowing the discovery shared and group documents.
  • OneDrive backups support versioning. Datto will save a snapshot for each of the three daily backups. 
  • OneDrive backups do not capture Image Libraries.

SharePoint:

Backupify/Datto SaaS Protection for SharePoint currently backs up the following data for SharePoint Sites:

  • Document Libraries
  • Site Templates
  • Site Assets
  • Site Pages 
  • Site Collections (Microsoft sites that admins have created that do not fall into the SharePoint Root Site collections
  • Site Lists (Generic List, DocumentLibrary, WebPageLibrary)

Backupify/Datto SaaS Protection only supports the cloud version known as "Office 365 SharePoint." Local installations of Office 365 contain SharePoint versions such as 2010, 2013, etc., which Backupify/Datto SaaS Protection does not support.

Backupify/Datto SaaS Protection OneDrive backups support versioning and saves a snapshot for each of the three daily backups.

Sharepoint backup issues

If SharePoint backups are failing, make sure the root SharePoint site does not appear in SharePoint's Redirect URLs section; this can prevent your backups from succeeding.

Handling Backup Exceptions and Issues

  • Backup attempts in which all items fail to back up will show as a failed run in the backup KPIs.
  • If an issue occurs that causes a backup to fail, Backupify/Datto SaaS Protection will automatically retry the backup on the next scheduled run and future runs until it completes successfully. If backups continue to fail, contact Backupify/Datto SaaS Protection Technical Support.
